Haufe X360 Modules at a Glance: Financial Accounting, CRM, Inventory Management, and More
September 10, 2026
An inventory management system that doesn’t integrate with accounting. A CRM that’s really just a second customer database. And somewhere in between, an Excel spreadsheet that shows the current inventory “roughly.” Almost every growing small-to-medium-sized business is familiar with this scenario: multiple systems that work individually but don’t communicate with each other.
Haufe X360 is a cloud-based ERP system powered by Acumatica for companies with approximately 10 to 250 employees. It combines six modules on a shared database: Finance & Accounting, Inventory Management & Logistics, Sales/CRM/E-Commerce, Production & Project Management, Service & Field Service, and Interfaces & Extensibility. For a small-to-medium-sized business, the implementation typically takes 4 to 6 months until go-live. BOLD & EPIC Transform is a certified Haufe X360 Gold Partner and supports this process from selection through to ongoing operations. The following sections go through each module in detail.
What is Haufe X360?
Haufe X360 runs entirely in the browser, without its own server and without any local installation. Two features set it apart from many other ERP systems on the German market: an open API infrastructure based on the “best-of-breed” principle, and the combination of Acumatica technology with the Haufe Group’s approach.
An Overview of the Six Haufe X360 Modules
All modules access the same database. Customer, product, and transaction data are entered once and are available in every module.

Financial Accounting
At the heart of financial accounting is the general ledger: All transactions from sales, purchasing, inventory, and projects are automatically consolidated there and verified for GoBD compliance by the independent auditing firm Revidata. Standard reports such as the business analysis report (BWA), income statement, balance sheet, and trial balances can be customized and exported as Excel or PDF files.
Accounts receivable and accounts payable management cover dunning, credit limit checks, automated accruals, and multi-currency support. The system processes e-invoices in ZUGFeRD and X-Rechnung formats directly, including validation and bulk sending. For payment transactions, Haufe X360 automatically reconciles bank statements and integrates bank accounts, credit cards, and PayPal. Tax filings are processed via an Elster interface for advance sales tax returns, and communication with the tax advisor takes place via a DATEV Unternehmen Online connection. For companies with multiple subsidiaries, corporate and holding structures—including cross-company sales and centralized purchasing—are also supported.
- General ledger with business analysis, income statement, balance sheet, and trial balance
- Accounts receivable/payable with dunning and credit limit checks
- E-invoicing (ZUGFeRD, X-Rechnung) including validation
- Payment processing with automatic bank statement reconciliation
- Elster interface for advance sales tax returns
- DATEV Unternehmen Online connection to the tax advisor
- Fixed asset accounting with multiple depreciation ledgers
- Multi-currency management and corporate/holding structures
If you do not want to handle all your accounting in-house, you can combine the finance module with our Accounting-as-a-Service offering: a digital accounting service based on the same database.
Inventory Management & Warehousing
Demand planning (DRP) is at the heart of the system: Based on orders, inventory levels, and delivery times, the system calculates when purchasing, warehouse transfers, and shipping must be initiated to meet delivery deadlines while keeping inventory costs low.
Inventory levels are visible in real time, including via mobile barcode scanning in the Haufe X360 app during physical inventory counts. Items can be traced down to the individual-part level using lot and serial numbers, including expiration dates and inspection statuses. During order processing, credit limit checks, automated freight cost calculation, consolidated invoices, and returns management (RMA) work together seamlessly. On the purchasing side, the module combines supplier management, blanket purchase orders, and drop shipping into a single workflow. For wholesalers or construction equipment dealers with complex supply chains, this is often the biggest difference compared to an Excel solution.
- Demand Planning (DRP) for Purchasing, Warehouse Transfers, and Shipping
- Real-time inventory levels, including mobile access via a scanner app
- Batch and serial number tracking with expiration dates
- Physical inventory and stock transfers between locations
- Order picking and automated freight cost calculation
- Credit limit checks and returns management (RMA)
- Supplier management, blanket purchase orders, dropshipping

Production & Project Management
Production Planning (PPS) continuously compares planned material and labor costs with actual costs, thereby identifying where an order deviates from the cost estimate. Material Requirements Planning (MRP) uses this data to calculate order recommendations and flag bottlenecks before they jeopardize the production plan. For production control itself, capacity planning, tooling scheduling, and a dashboard for machine and employee utilization are available.
Bill of materials (BOMs) can be mapped in multiple levels with assemblies, alternative variants, and a complete revision history; a product configurator converts complex configurations directly into BOMs. For project-based work, such as in plant engineering, project controlling is also included: costs for materials, labor, and third-party services are automatically allocated to the respective project; invoicing is possible on a fixed-price, milestone, or time-and-materials basis, with automatic alerts if the budget is exceeded.
- Production planning and control with target-actual cost comparison
- Material Requirements Planning (MRP) with automatic purchase order recommendations
- Capacity and tooling planning by machine and employee
- Multi-level bills of materials with revision history and product configurator
- Preliminary cost estimates for quotes and production orders
- Project controlling with automatic cost allocation per project
- Invoicing based on fixed price, milestones, or actual costs
- Automatic alerts when budgets are exceeded
Service & Field Operations
Scheduling is handled via a planning board with a map preview: The system shows at a glance who is available, what qualifications are required, what tools are needed for a job, and what the route to the location looks like. Technicians in the field use an app to view the same data as in the office and record times, materials, and service reports directly on-site.
Devices installed at customer sites can be managed along with maintenance intervals, warranties, and spare part requirements, so that maintenance appointments are generated automatically rather than having to be tracked manually. Service contracts with varying terms and billing intervals are stored centrally in the system, linked to the devices and contacts for each customer.
- Scheduling via a planning board with map preview and route planning
- Mobile app for technicians with real-time data access in the field
- Device management with maintenance intervals and automatic appointment scheduling
- Spare parts management directly from the inventory management module
- Service contract management with flexible billing intervals
- Quality inspections and checklists directly during service calls
Interfaces & Extensibility
Third-party systems can be integrated via open REST and SOAP APIs, as well as webhooks and push notifications, including event-driven integration in real time. Over 60 interfaces are already certified in the partner network: Shop connectors such as Shopware, Shopify, WooCommerce, and Magento; marketplaces such as Amazon; CRM systems such as HubSpot and Salesforce; shipping providers such as DHL and Sendcloud; and the Microsoft ecosystem, including Outlook, Teams, and Power BI. If a required integration is not listed, the ISV team will handle custom development.
- REST and SOAP APIs for any third-party systems
- Shop connectors: Shopware, Shopify, WooCommerce, Magento
- Marketplace integrations: Amazon and other e-commerce platforms
- CRM and communication integrations: HubSpot, Salesforce, Outlook, Teams
- Shipping and logistics integrations: DHL, Sendcloud, Shipcloud
Where the standard solution is insufficient—for example, with specialized cost center models or industry-specific billing logic—the system can be expanded as needed. What customized solutions for Haufe X360 look like, and when in-house software development makes more sense than modifying the standard solution, depends on the specific case.
Cloud ERP or On-Premises: The Difference in Modules
Dimension | Cloud ERP (Haufe X360) | On-premises |
Costs | Predictable annual usage fee, operating costs included | High initial investment, plus ongoing operating costs |
Server & IT | No dedicated server, no maintenance required | Own hardware; maintenance and backups handled by the customer |
Updates | Automatic updates provided by the manufacturer | Manual, often postponed for years |
Availability | Accessible from anywhere via a browser | Usually tied to the company network |
Scalability | Users and modules can be easily added | Requires new hardware and project effort |
Customization | Open API, modern integrations | Customization is possible, but more expensive and update-sensitive |
The difference is most evident when it comes to scaling: New users can be added without any hardware investment. Thanks to multi-tenant capability, additional locations or companies can be set up as separate entities with consolidated reporting. Multiple currencies, languages, and tax regulations are already built into the system to support international growth.
A real-world example: esb manages its production process using Haufe X360
esb, a BOLD&EPIC Transform client, manufactures gas purge cones for steel mills. Their production requires the utmost precision. To enable the company to focus entirely on manufacturing, esb worked with us to optimize its ERP processes. The implementation took place in two phases: A somewhat slower initial phase was followed by an on-site kickoff at BOLD & EPIC and several site visits to esb, because only by understanding the exact business workflow can one grasp the subsequent processes it triggers.
As a result, work now proceeds much more efficiently and in a more structured manner. Employees can now filter their orders in a targeted manner. In addition, costs are broken down much more clearly, since each subprocess has been assigned a resource and, consequently, a cost center.
How does the rollout work?
For a medium-sized company, a timeframe of 4 to 6 months until go-live is realistic, depending on the scope of the modules used and the quality of the data to be migrated. The biggest cost driver is rarely the system itself, but rather any deviation from the standard process. The closer a company stays to the standard, the faster and more stable the implementation will be.
An ERP implementation is first and foremost an organizational and transformation project, not purely an IT project. Change management is therefore an integral part of every project phase from the very beginning—from the early involvement of key users to training after go-live. Without this support, a company won’t be able to fully leverage even a robust modular system, because ultimately, it’s people who drive the processes.
Anyone looking to determine which modules make sense for their own company will find that an ERP consultation is the right place to start, including an honest assessment of where the standard is sufficient and where customizations are worthwhile.
A Single Source of Truth Instead of a Siloed Solution
Financial accounting, inventory management, CRM, production, and service all run on a shared database (single source of truth) in Haufe X360. This is what sets it apart from a landscape of standalone tools: A document is entered once and is available in all modules.
As a certified Gold Partner, BOLD & EPIC Transform helps midsize companies identify, implement, and further develop the right modules.

FAQ on Haufe X360 Modules
-
Three factors determine the price: licenses, implementation, and ongoing operation. The license fee is calculated per user and per module. Implementation costs depend on the scope of the process, the number of interfaces, and the degree of customization. That’s why it’s worth looking at the total costs over 5 to 10 years rather than just the initial price.
-
No. The modules can be combined and expanded later on—for example, if a company first implements financial accounting and inventory management, with production or service to follow in a second phase.
-
For small and medium-sized businesses, a timeframe of 4 to 6 months until go-live is realistic. The duration depends primarily on the number of modules, data quality, and the degree of customization.
-
Via a documented, open API. DATEV is connected via an interface integrated into the ERP system; online stores and CRM systems are connected via certified connectors; and everything else is handled via the open REST and SOAP APIs. This way, all data can be captured at once and used anywhere. The greater risk lies less in the technology itself than in the elimination of duplicate data entry and data inconsistencies.
-
That depends on the modules used. At the start of the project, a customized resource plan is created, which provides both parties with planning certainty.
